monday.com monthly update Blinno blog

monday.com has released numerous new features and improvements in October. From practical workflow enhancements and optimised rights management to new AI functions, the platform is constantly evolving to better support teams in their daily work.

In this article, you will find the most exciting innovations at a glance.

monday Work OS

Managed Templates: Out of beta with new limits and add-ons

Update status: going live on 17 November 2025

Managed Templates are officially leaving the beta phase, which brings with it a few changes: From 17 November 2025, usage will be limited to 20 Managed Templates per account (across all products). Anyone who needs more can book additional capacity as an add-on in future, exclusively for Enterprise plans.

Important:

If you currently use more than 20 managed templates, there is no need to worry. You will not lose access and will not incur any additional charges for the time being. Please contact your account manager for further details.

Why is this important?

Managed Templates is a useful feature for centrally managing standardised processes, with full control over versions and updates. With this update, the feature is being officially introduced and made scalable for widespread use.

Use Cases

Standardised project methodology: PMOs (Project Management Offices) can centrally manage project templates and automatically transfer changes to all boards.

Consistent client onboarding: Service providers can ensure that every client goes through the same structured onboarding process, including tasks, deadlines and documents.

Centralise HR processes: Onboarding and offboarding processes can be designed uniformly. A central template automatically controls all relevant employee boards.

Data leak prevention: automatic notification of new breaches

Update status: fully rolled out

Requirement: Guardian add-on (Enterprise plan)

The new DLP update for the Guardian add-on makes monitoring data breaches even more efficient:

  • Admins can now define specific reviewers in the DLP setup who receive a daily overview of all new violations from the last 24 hours.
What does the new feature offer?

Previously, DVP violations had to be actively called up and reviewed. Now, the most important information automatically lands in the inbox of those responsible.

Use Cases

  • Daily stand-up for the security department: CISOs and security personnel automatically receive all violations from the previous day in a clear format, ready for the morning team update.
  • Establish fixed review processes: Create a daily "DLP review ceremony" for all responsible parties. With the summary in your inbox, violations can be prioritised and processed directly.

You can now hide the main view

Update status: partially rolled out

With this new feature, board owners can hide the main view (main table) from other users. This means that only owners retain access to the main table, while everyone else only sees alternative views (e.g. dashboard, Kanban, Gantt, etc.).

The update can be applied to both existing and new boards.

Why this makes sense

Especially with complex boards with many columns, formulas or automations, the main view can quickly appear cluttered. With this new option, owners retain full control, while other users only see what is truly relevant.

Use Cases

  • Protect internal logic: Technical columns, formula constructs or automation triggers can remain hidden, minimising operating errors.
  • Improve user guidance: End users only see simplified views that are precisely tailored to their role or task.
  • Avoid errors: Hiding system-critical columns significantly reduces the risk of unintended changes.

New item creation via map view

Update status: fully rolled out

You can now create new items directly in the map view. Instead of scrolling through long tables with lots of columns, the new item creation feature offers you a clean, clear interface, ideal for teams that value clear structures.

Available for
  • All Work Management users (all subscription levels)
  • monday dev (Pro plan and above)
  • Coming soon for monday CRM & Service

What is new?
  • Items are created using a visual map view.
  • Board owners can activate this by default (adjustable per board).
  • Each area in the workspace can be configured individually.

Use Cases

  • Map view enthusiasts: Teams that prefer to work visually will immediately feel at home with the new item map view.
  • Boards with many columns: The card view reduces horizontal scrolling and makes data entry clearer.
  • Individual workflows per team: Each board can be configured differently, which is ideal for complex workspaces with different requirements.

Quarterly update of the platform API version

Update status: fully rolled out

The monday.com Platform API has been updated:

  • The new standard version is 2025-10.
  • The release candidate version is 2026-01.

This new version introduces powerful aggregation functions that enable developers to apply mathematical queries directly to board data.

What is new?

With the new aggregation API, you can read and calculate values directly:

  • Sum, average, maximum, minimum, etc.
  • Ideal for reports, dashboards and data-driven processes

New features are available in the release candidate version (2026-01). Read more here.

You can find the complete list of new features in the API documentation. Read more here.

Use Cases

  • Professional Service Partners: Can retrieve automatically aggregated data for customers, e.g. for project cost analysis, forecasts or capacity planning.
  • Custom dashboards & visualisations: Developers working with tools such as Retool or Power BI can use the API enhancements to extract complex calculations directly from monday.
  • Optimisation of integrations: More computing power directly in the API means less dependence on external tools or data manipulation.

Move items via API

Update status: partially rolled out

With the new Change Item Position Endpoint, items can now be reordered via API, just like in the UI using drag & drop.

What is new?

Using the GraphQL API, you can:

  • Place an item above or below another item
  • Move an item to the beginning or end of a group, even if the group is empty
  • Reorder task or priority lists via API

Target audience: Developers, MCP users, Marketplace partners

Use Cases

  • Automated prioritisation: A tool or bot can automatically assign tasks a higher or lower priority depending on external triggers, for example, in the event of new escalations or changed deadlines.
  • Synchronisation with other systems: If the order of tasks in a third-party system is adjusted, this can now also be mirrored in monday.
  • Better user experience in apps: Marketplace apps and integrations can now not only change data, but also influence its display in monday so that it is logical and readable for users.

With this extension, monday closes a key API gap and makes the platform even more flexible for automated processes, integration tools and custom apps.

Finally possible: annual time automations

Update status: partially rolled out

Previously, automations could be scheduled on a daily, weekly or monthly basis, but now monday also supports annual time intervals.

What is new?
  • In the automation types "Every X periods" and "When a date is reached", "Annually" can now also be selected as the interval.
  • No more workarounds via external calendars, complex conditions or manual reminders

Why this is important

Annual planning has been a real weak point up to now, especially in the following areas:

  • Contract or licence renewals
  • Annual audits, reviews or KPI checks
  • Recurring events or HR processes
  • Financial planning, budget approvals and annual financial statements

Who will find this particularly useful?

Teams with longer planning cycles, such as HR, Legal, Finance or Compliance, benefit particularly. The new function also brings clarity and planning security to larger organisations with standardised annual processes.

monday CRM

Edit quptes and invoices directly in the live editor now

Update status: partially rolled out

With the new live editor for quotes and invoices, you can edit your quote and invoice texts directly without constantly switching between the template and preview. In addition, rich text formatting (e.g. bold, italics, bullet points, etc.) is now available to help you highlight content visually.

Why this is important
  • Work faster: customise, format and review content, all in one window.
  • More flexibility: highlight text blocks, visually emphasise important passages.
  • Fewer sources of error: changes made directly in the final document instead of via templates.

Use Cases

  • A sales manager can adjust an offer in real time during a customer meeting without having to rely on the support of the CRM administrator.
  • Sales staff can visually highlight important information such as discounts, prices or deadlines to communicate more professionally and clearly.

Link quotes and invoices directly to deals

Update status: partially rolled out

With this update, you can link quotes and invoices directly to an item, such as a deal, contact, or custom object. Relevant data, such as recipient information, is automatically transferred from linked columns, which significantly speeds up creation and simplifies tracking.

Why this is important
  • Time savings: Manual data entry is no longer necessary, as the information is transferred automatically.
  • Greater clarity: Documents are clearly linked to deals and can be traced at any time.
  • Better evaluations: Managers maintain an overview of the status of all linked documents and can analyse specific key figures.

Use Cases

  • A sales rep creates a quote directly from a deal – name, company, email and price are automatically inserted.
  • A sales manager can see in the CRM which invoices are linked to which deals, making it easier to track open quotes.

monday AI

Changes to AI usage & monetisation on monday.com

Expected gradual introduction: mid-November 2025

monday.com is revising the way AI features are billed with the aim of making usage more transparent, efficient and predictable. The changes affect both the billing of credits and the availability of free features.

What is new?

1. Optimised credit billing per item

Instead of calculating each action individually, only 1 AI credit per item and 24 hours is now charged, regardless of how many AI columns are performing actions on the item.

Example: 3 AI columns on one item = 1 credit (no longer 3 as before).

2. One-time AI credit trial instead of monthly credit

Previously: 500 free credits per month.
New: One-time trial period with credits, after which AI credit packages (add-ons) must be purchased.

3. Selected AI functions are now available free of charge "on demand"

These features do not consume credits and are available free of charge:

  • Text to filter
  • Text to workflow
  • Formula builder
  • Docs Assistant
  • Update
  • AI Summary

and more.

Who is this relevant for?
  • Teams that use AI columns in their workflow (e.g. for automatic analysis or text creation).
  • Accounts with recurring monthly AI usage.
  • Anyone who wants to scale AI functions on a large scale – e.g. in CRM, project management or HR processes
Conclusion

The new AI monetisation rules make usage more efficient, and many features are now even available free of charge. Those who use AI strategically and intensively can also save costs thanks to the new billing model.

monday vibe – now officially available as an add-on

Update status: fully rolled out

The new monday vibe add-on makes app building on monday.com even easier: users can create customised business apps in seconds. Creating and testing apps is free of charge; you only pay when published apps are actually used in your account.

👉 monday vibe does not consume any AI credits unless AI functions are used within the app (e.g. generating content, analysing data, etc.).

Who is it intended for?
  • Power users and builders who want to implement complex processes without code.
  • Consultants and partners who want to deliver customised apps to customers faster.
  • Curious users who want to implement their ideas without technical knowledge.
  • Companies that want to intelligently integrate AI functions into their workflows.

Use Cases

  • Marketing teams create a tool at the touch of a button that automatically suggests social content.
  • Project managers can automatically generate a project overview using AI data analysis.
  • Consultants deliver customised customer solutions with just a few clicks – without developer support.
  • HR teams build an onboarding tool with progress tracking, reminder functions and evaluations.

AI Sidekick now also available on mobile devices

Update status: fully rolled out

monday Sidekick is now available on mobile devices, helping you complete tasks, access information, and share content while on the go. You can talk or write to your Sidekick to get board summaries, edit items, create updates, or perform targeted searches. In addition, you can export content such as item lists, images, or text boxes to other mobile apps directly from Sidekick.

What is it useful for?
  • Check and summarise project status without manually clicking through boards.
  • Edit updates or tasks without opening the desktop version.
  • Share information, e.g. send item lists by email or messenger.
  • Continue workflows even when you are not at your desk.

monday Workflows

Workflow Builder now also available for Pro plans

Update status: partially rolled out

Pro accounts now also have access to the Workflow Builder. Access is currently being rolled out gradually, and all Pro plans should have access by the end of October.

Was ist neu?

Use Cases

  • Admins can transfer workflows to dedicated owners, e.g. team leads or process owners.
  • Power users retain ownership even if other colleagues make minor adjustments.
  • In large organisations, this allows responsibility for important workflows to be clearly assigned and secured in the long term.

Editing workflows with integration blocks

Update status: fully rolled out

When editing a workflow with an integration block that you did not create yourself, the integrations will now remain intact.

Instead of automatically clearing the fields (as was previously the case), the affected blocks are now simply deactivated and displayed as uneditable without blocking the rest of the workflow.

Why is this important?
This change prevents integrations from being accidentally deleted or damaged simply because another user is working on the workflow. At the same time, the workflow remains fully editable and savable.

Use Cases

  • Project teams can work together on workflows without having to reconnect integrations.
  • Admins maintain control over central integrations while team members customise other parts of the workflow.
  • In complex automations, the risk of errors and interruptions is significantly reduced.

monday WorkCanvas

WorkCanvas now with EU data hosting

Update status: partially rolled out

New WorkCanvas accounts created via a monday.com account from the EU will now be automatically hosted on servers within the EU.

Why is this important?
  • Greater compliance with EU data protection requirements (e.g. GDPR).
  • Increased confidence for companies with strict compliance requirements.
  • Clarity regarding regional data storage.

Use Cases

  • A financial company in Germany uses WorkCanvas for project visualisations, safe in the knowledge that all data is stored within the EU.
  • A public institution in France complies with internal regulations on data storage in Europe.
  • An international team based in Austria can use WorkCanvas without any concerns about data transfer to third countries.

Conclusion

The October updates bring numerous improvements, especially for teams with complex workflows, high data protection requirements or international setups. Whether automated processes, more control in data management, new tools in CRM or expanded capabilities in WorkCanvas, monday.com is constantly evolving to make modern work more efficient.
