Initial situation
The company faced the challenge of integrating its existing Jira installation for software development with an efficient customer enquiry and project management system. The management team needed a centralised overview of all customer enquiries, ongoing projects and the hours worked by developers, without disrupting the tried-and-tested development processes in Jira.
Solution
We implemented a comprehensive monday.com solution that combines customer enquiry management (monday CRM) with project management (monday Work Management). The main challenge was to integrate the existing development tool, Jira, seamlessly.
Using the Make automation software, we developed a smart integration between Jira and monday.com. When developers work on tasks in Jira and change their status (e.g. from ‘In progress’ to ‘Completed’), the system automatically records how long they have spent working on each task. These time entries are automatically transferred to monday.com and sorted by team member and project milestone.
Automated checklists have been set up in the CRM system to structure each step in the enquiry process and ensure transparency. As soon as an enquiry becomes a project, it is automatically transferred to the project phase, where resource planning and the project overview are managed centrally.
The company now has an end-to-end system that links all processes together and provides senior management with complete transparency regarding all ongoing projects and resources at all times.
